Client Verification

Timeline: Day 1 of engagement

We conduct a secure digital VOI (Verification of Identity) process in line with Landgate’s Practice Manual and regulatory requirements. This involves verifying your government-issued ID and confirming your legal right to deal with the property, whether you're a buyer, seller, or executor. As members of the Western Australian Legal Board, we are approved to conduct digital VOI.

Workspace Creation

Timeline: Within 24 hours of VOI completion

We open a secure digital PEXA workspace and invite all relevant parties — including the other settlement agent, banks, and Landgate. This creates a centralised environment for document preparation, financial settlement, and electronic lodgment. All activity within the PEXA workspace is encrypted and audit-tracked.

Document Preparation

Timeline: 1-2 weeks before settlement

We prepare and review all documents electronically, including:   Transfer of Land   Discharge of Mortgage (if selling or transferring)   Mortgage documents (if buying with finance) These are created within the PEXA platform, ensuring accuracy and security.

Digital Signing

Timeline: 3-5 days before settlement

Where required, documents are signed electronically using secure digital signature platforms that comply with WA legislation and Landgate standards. This eliminates in-person signing delays and ensures full traceability.   Some banks or lenders may still require manual mortgage documentation — we’ll advise if applicable.

Financial Settlement Preparation

Timeline: 1-2 days before settlement

We prepare all financial calculations (including rates, water, and tax adjustments) and confirm the exact amounts payable.   Lenders upload payout figures and loan funds   Settlement agents confirm disbursements and professional fees   The PEXA platform reconciles all figures before settlement is booked   All parties must sign off (“PEXA-ready”) for settlement to proceed.

Electronic Settlement

Timeline: Settlement day

PEXA automates the entire financial transaction. On settlement day:   Funds are transferred securely and instantly   Mortgages are discharged or registered   Purchasers pay the full price; sellers receive cleared funds   Adjustments are settled between buyer and seller   Funds typically clear same day, depending on the bank’s internal processing time.

Instant Lodgment

Timeline: Immediately after financial settlement

As soon as financial settlement is completed, Landgate receives and processes the Transfer of Land and other relevant documents in real time. This greatly reduces the risk of post-settlement delays or errors compared to paper settlements.   You’re legally registered as owner within hours, not days or weeks.

Digital Confirmation

Timeline: Within hours of settlement

You receive prompt confirmation of settlement, including:   Official settlement statement   Confirmation of Landgate lodgment   Notification that all funds have been disbursed All stakeholders — including agents, banks, and both parties — receive automatic updates.

Additional Notes for WA:

  • PEXA is the default system for most major banks, agents, and conveyancers in WA.

  • In rare cases, paper settlements may still be used (e.g. niche lenders or unusual land titles). We'll let you know if that applies.

  • PEXA also supports linked simultaneous settlements (e.g. selling and buying on the same day).
